The form should not write as if it were the visitor
Plenty of forms put the visitor's own address in the From field. To the mailbox receiving it, that is a message claiming to come from someone else's domain, sent by a server with no business doing so, and it ends up set aside. You are the sender; the visitor belongs in the reply-to field.
Sending from the hosting itself is the most fragile route
The built-in mail function on any hosting plan hands your message to a machine shared with thousands of other sites, unsigned and unidentified. It works during testing and quietly stops working in production. A sending service with your own credentials leaves a record.
Three domain records decide whether they believe you
SPF is the list of servers allowed to send on your behalf. DKIM is a signature the server adds and the recipient checks against a key published on your domain. DMARC says what to do when something does not line up. Without all three, the filter decides.
An email template is not laid out like a web page
Email programs support only a small slice of stylesheets, and some strip out what they do not understand without a word. What looks flawless in a browser can arrive in pieces in a corporate mailbox. You build it with conservative rules and test it before the first invoice goes out.
