One current master, not five loose files
The usual problem with a brand is not the design: it is the five versions of the logo scattered across different email threads with nobody sure which one counts. We hand over a repository with the current version marked, the previous ones kept and the date of every change. Whoever needs it takes it from one place instead of asking.
The guidelines say when they were written
A brand guide with no date and no version number becomes two guides the moment somebody tweaks it. Ours carries a version, a date and a note on what changed. It is what lets a printer or an outside agency know whether they have the latest without asking you.
Published content has a history too
A page that changes without leaving a trace forces you to dig through outside archives to find out what it used to say. We keep dated versions of the important pages, especially the ones carrying promises, deadlines or terms. Without that record it is easy to republish a claim that was deliberately withdrawn.
Your team produces without asking permission
Typefaces, palette, tone and editable templates, plus a written rule on what can be touched and what can't. With that your people can produce a piece without waiting for anyone and without the brand drifting. Depending on the agency for every post is not looking after a brand: it is charging to open a file.
