The document arrives before the meeting
The analysis and the options are sent as we close our day, with plenty of time for you to read them during yours. When we meet, nobody presents anything: we go through the objections you have already written down. An hour used that way is worth more than three of slides.
The plan says who does each thing, and on which shift
Every item carries an owner and a side, your team or ours, on top of the ordering by impact, effort and dependencies. With half a day of offset, a task without a clear owner does not slip by hours: it slips by a whole day every time it changes hands.
Decisions are kept together with their reasons
What was decided, what was ruled out and on what grounds, written down the same day. When somebody asks six months later, the answer does not depend on two calendars lining up across opposite hemispheres. A decision misunderstood at this distance costs weeks in the wrong direction.
The shared hour is inconvenient for somebody
Nine in our morning is five in your afternoon. Someone always starts early or finishes late. For long workshops there is no trick: they are split into several short sessions across the week. We would rather say so now than book six hours straight that nobody is going to survive.
